How to Replace Staff in OnCore

This is useful when a staff member leaves the institution and you wish to replace all of their protocol/staff and protocol/subject assignments with a new staff member. This requires the Regulatory access role in OnCore.

  1. Replace a Protocol Staff Member with another staff member for all of their listed protocols
    1. Protocol menu > Protocol Search
      1. Under the "Staff" tab > "Staff Name", enter the name of the staff who you wish to replace 
      2. Under "Staff Role", enter the role of the staff who you want to replace (Leave this blank if the new staff is to replace all of the previous staff's roles, otherwise enter the role they are replacing)
      3. Click "Search"
    2. At the top left of the Protocol search results, click on the page size to expand it to show all of the protocols on one page if possible
    3. At the top right of the Protocol search results, under the "Add Staff?" column, click on the hyperlink "All" to select all of the protocols, or you can individually click on specific protocols
    4. Click on "Add Staff" and this pop up appears:
    5. Enter the "Staff Name", "Staff Role", and "Start Date" of the staff member to replace the original staff member on the protocols selected, then "Submit"
  2. Replace Subject Staff with another staff member for all of their subject staff assignments:
    1. Subject menu > Subject Search
      1. Under "On Study" > "Staff Name", enter the name of the staff who you want to replace
      2. Under "Staff Role", enter the role of the staff who you want to replace (Leave this blank if the new staff is to replace all of the previous staff's roles, otherwise enter the role they are replacing)
      3. Click "Search"
    2. At the top left of the "Subject Search Results" click on the page size to expand it to show all of the subjects on one page if possible.
    3. At the top right of the protocol search results, under the “Add Staff?” column, click on the hyperlink “all” to select all of the subjects, or you can individually click on the individual subjects

    4. Click on "Add Staff" and this pop up appears:
    5. Enter the “Staff Name”, “Staff Role” and “Start Date” of the staff member to replace the original staff member, then “Submit

  3. How to enter a Stop Date for a staff's protocol/subject assignments:
    1. Notify OST with the staff name and their stop date and request that they enter this information in the staff console in OnCore.
