5. Custom Notifications

Adding a customized notification for a protocol can be useful to remind members of the study team of important milestones in a protocol's life cycle. It can also be used to alert study team members of steps they need to take in OnCore. Only users with the Regulatory access role in OnCore can add protocol notifications.

  1. From the Home Page > Protocols menu > PC Console
  2. Type in the protocol number in the Select Protocol field
  3. Select Notifications vertical tab
  4. Scroll to the specific notification you would like to set
    1. Move the radio button of your notification to the middle, "Custom" column
      1. All notifications are automatically set to the Default radio button
    2. Once you move the radio button to the middle column, a message saying "Not Configured" will appear
    3. Click on the Notification Hyperlink to set the notification details
      1. Once you click on the hyperlink you will be taken to the notification configuration page
      2. Click "Update" at the bottom right corner of the page
      3. Add "no_reply_oncore@wustl.edu" in the Reply To field 
      4. Add the Email Address in the "To" field of where you would like the notification to go
        1. If you wish to add additional recipients by staff role or protocol role, you can add them in the Additional Recipients section
      5. The Subject field is automatically filled with the title of the notification
      6. Add the intended email body message to the "Text" field
    4. Click Submit.
    5. If you are setting up a Subject Status Rule, there are additional steps.
      1. At the bottom right of the PC Console > Notifications page. click on the “Subject Status Rules” hyperlink .
      2. You will see the below screen (if not, click Update).
      3. Select the Status that corresponds to the Notification you selected in Step 4 above.
      4. Enter the number of subjects at which you want to be notified.  (Ex: Enter 10 if you want to know when 10 subjects have reached the Status you selected).
      5. Enter whether you want it to never repeat, repeat for each additional subject who reaches that status or for each X subjects (number entered for subject threshold) that reach that status.
      6. Press Add.
