Project/Request

This workflow is designed for researchers who are requesting services from the Tissue Procurement Core. You can view the on-demand training here in Learn@Work. If you have any questions about this workflow, please email biobankhelp@wustl.edu 

 Instructions

Creating a Project

  1. Navigate to Projects in OpenSpecimen

  2. Click on the create button to create a project. This is a one-time creation. You will use this project to submit requests under.

  3. Fill out the details below.

    1. Project name

    2. Services Requested From: Tissue Procurement Core

    3. Principal Investigator: Search by last name or first name.

    4. Associated Users: Anyone who has access to OpenSpecimen can be added as a user in this section. Adding a user here will allow them to see and submit requests under the Project. If someone needs access and does not have an account, they will need to complete training and email biobankhelp@wustl.edu for access.

    5. Fill out the rest of the IRB details for the project.

  4. If you are not ready to submit your project and need time to collect additional information, click on Save Draft. This will allow you to come back and edit/add details to your project. When you are ready, click the Submit button. Once your project is submitted, you can place a request.

Creating a Request

  1. Click on create request from the Project page.

  1. Fill out the Request

    1. Billing PI: If the billing PI is different than the project PI, you can make that change here.

    2. Requestor Email: your email address.

    3. Billing information: Enter grant and source data here.

    4. Specimen Details and Specimen Source

      1. TPC inventory - Specimens are already stored at the TPC

      2. Deliver to the TPC - Specimens are not at the TPC but will be delivered.

      3. TPC inventory and Deliver to TPC - Specimens are a combination of inventory already at the TPC and specimens that will be delivered.

    5. OpenSpecimen Specimen Labels - You can copy and paste specimen labels here if you have a list of specimens.

    6. Download Biospecimen Submission Form Here: If you are delivering specimens to the TPC, fill out this form and attach under the section Attach Additional Relevant Information. Note: A completed TPC Request Line Biospecimen Submission Form MUST be attached for request approval. A completed copy of this form MUST accompany all samples delivered to the TPC for your request. Contact the TPCRequest@wustl.edu with questions regarding how to properly annotate your submission form.

    7. Add Services

      1. Processing Requirements - What action to you want performed on the specimen?

        1. ex) Specimen distribution, specimen storage, create slides

      2. # Specimens Processed - How many specimens need to have this requirement

      3. Specimen Type Processed - Type of specimen that you have

      4. Distribution Requirements (QTY) - if applicable, how many specimens need distribution.

    8. Request Detailed Instructions - If you have any other details that will be pertinent to the request, you can enter them here.

    9. Attach Additional Relevant Documentation - Attach any documentation that can help fulfill the request

    10. Shipping Services - If specimens will need to be shipped, choose TPC Shipping Services and fill out the shipping fields. Most requests choose “None”

    11. Request Terms & Conditions - Read and Accept the Terms & Conditions

  2. If you still need to add additional information you can save as a draft. This will allow you to edit the request. Click submit when you are ready to submit to the TPC.
