Switching Calendar Versions

  1. From Home page > Subjects menu > CRA Console
  2. At the bottom of the page, in the "Switch Calendar Versions", change the drop down from 1 to 2 (or the applicable correct calendar version)
  3. If all patients need to be switched, click on the "All" button next to "Select"
  4. If only specific patients need to switched, click on the box Select box on their line(s).
  5. Click the "Replace Versions" button
  6. Repeat for any remaining pages in the CRA Console

How do I know if a patient needs to have their calendar version switched?

Subjects need to be switched to the new version of an OnCore calendar if they will be experiencing visits of any kind within the newly approved calendar. If an amendment was released that changed the schedule of events or procedures needed and that warranted changes to the calendar, subjects who will remain on study and continue to have visits, will need to have their calendar version updated.


Orphaned Visits

  • After switching calendar versions, you may notice that some patients' previous 'Occurred Visits' are missing from the new calendar version. If a visit was entirely removed from the schedule in a new version of the calendar and that visit has already been verified, it will not be included on the new calendar. You can find these visit in the Orphaned Visits tab in the subject's calendar.
