20240603 - How do new employees, students, or other study team members get access to REDCap and our Projects?

Hello Wash U REDCap Community,

Over the month of May, we had several people submit tickets asking how to get access to REDCap or to specific projects in REDCap. Actually, you do not need to reach out to us for access to REDCap or for projects. Anyone with a WUSTL Key can navigate to https://redcap.wustl.edu and log in. Once you have logged in, you can begin creating projects or be added to projects that already exist. Someone from the project with user rights privileges can add you to the project.

We have information about access and projects on our REDCap Policies page, but we also created several FAQs pages for these questions:

Access to REDCap FAQs

How do I get access to REDCap at Washington University?

I am having issues logging into REDCap. Can you please help?

Where do I log in to the WUSTL REDCap Instance?

I am having issues with Project Access or REDCap Log in information. Can you help?

How do I get started creating a project or database?

Access to a REDCap Project FAQs

How do I get access to REDCap Projects?

How do I add someone to my REDCap project?

How do I give others access to my REDCap Project?

I am trying to add someone to my project but cannot find them on the User Rights application.

I added someone to a project but they cannot see it in their My Projects list.

User Rights

When you are adding new people to projects, it is very important that you consider what user rights you are giving them. Please see the User Rights Definitions page for a comprehensive information on user rights. A quick rule of thumb with user rights, is that you should give each user the minimum rights necessary to complete their assigned task. For example, if someone will only enter data they do not need the Highest Level Privileges. You can set an expiration date for any temporary workers that you are adding to you project.

When you are adding new users to your project, it is a good idea to see if any users can be removed from the project as well. For example, did someone leave switch roles and no longer needs access to the project? If some need removed, here is a handy an FAQ: How do I remove someone from my REDCap project?

Thank you,

Wash U REDCap Support
